Full Circle Counselors (“Full Circle,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our website, register as a seeker or counselor, book counseling sessions, or otherwise interact with our services (the “Services”).

By using the Services, you agree to the collection and use of information in accordance with this Policy. If you do not agree, please do not use the Services.

We collect information in the following ways:

a. Information you provide

• Account details: name, email address, mobile number, and login credentials (verified via OTP).
• Profile and questionnaire data: education, experience, career goals, and any information you share in onboarding or session intake forms.
• Counselor application data: qualifications, professional history, availability, and bank or UPI details required for counselor payouts.
• Session content: notes, surveys, ratings, and any messages or call requests you raise through the platform.
• Payment data: we process payments through third-party providers; we do not store full card or bank account numbers.

b. Information collected automatically

• Device, browser, and operating system information; IP address; and approximate location.
• Usage data such as pages visited, features used, and session timestamps.
• Cookies and similar technologies for authentication and preferences (see Section 8).

• To create and manage your seeker or counselor account.
• To match seekers with counselors, schedule sessions, and facilitate video meetings.
• To process payments, payouts, and refunds, and to send transactional notifications by email or SMS.
• To improve the quality of counseling through surveys, feedback, and aggregated analytics.
• To investigate and prevent fraud, abuse, or violations of our Terms.
• To comply with legal obligations and respond to lawful requests.

We share information only as needed to operate the Services:

• With counselors: when you book a session, the assigned counselor sees your name, contact details, and the profile or intake information you have shared.
• With service providers: hosting, payment processing, video conferencing, calendar integration, email and SMS delivery, and analytics. Each provider is bound by confidentiality and data-protection obligations.
• For legal reasons: when required by law, regulation, court order, or to protect the rights, safety, or property of Full Circle, our users, or the public.
• With your consent: any other sharing happens only after we obtain your explicit consent.

We do not sell your personal information to advertisers or data brokers.

We retain your information for as long as your account is active, and afterwards as needed for legitimate business purposes such as tax records, dispute resolution, fraud prevention, or compliance with legal obligations. You may request deletion of your account at any time (see Section 7).

We use reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, hashed credentials, access controls, and audit logging. No system can be guaranteed completely secure; please notify us immediately if you suspect unauthorised access to your account.

Subject to applicable law, you have the right to:

• Access the personal information we hold about you.
• Correct inaccurate or incomplete information.
• Request deletion or de-identification of your data.
• Withdraw consent for optional processing.
• Object to or restrict certain processing activities.
• Receive a copy of your data in a portable format.

The Services are intended for individuals aged 18 or above. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. Material changes will be communicated by email or through a prominent notice on the Services. Your continued use after the effective date of the updated Policy constitutes acceptance of the changes.
